The other day I was trying to scan a couple documents for a client, using my normally wonderful HP All-in-One printer with scanner capabilities but my laptop couldn’t find the (dreaded) TWAIN. I really don’t know what TWAIN is, but from time to time my laptop has trouble finding it. The problem normally resolves itself after I shut everything down and reboot. After three cycles of shut downs and reboots, I was getting nowhere and the time was tick-tocking away on my client deadline, so…..in desperation, I ran to Best Buy and bought a NeatReceipts scanner. I had intended to purchase a FlipPal, but discovered, to my dismay, that Best Buy doesn’t sell them. I’m pretty happy with NeatReceipts (which I am in NO WAY affiliated with). My laptop had no problem connecting with it, and the scans were clear and my client was happy.
Today, in a rare couple of free hours, I decided to tackle a few of the stacks of genealogy “stuff” that have accumulated in the dining room. One of the stacks consisted of a pile of family history magazines, mainly British, which I wanted to read but haven’t had a chance. I decided to experiment with scanning the articles I want to read. The experimentation process was long, but cutting to the chase, here’s what worked for me:
- I created a folder on my laptop called “Magazine Articles,” and I created a notebook by the same name in Evernote.
- In Evernote, I went to Tools>Import, and added “Magazine Articles” as an import folder. I specified that any files Evernote finds in the “Magazine Articles” folder on my laptop are to be imported into the notebook called “Magazine Articles.”
- I connected the NeatReceipts scanner to my laptop, opened the Neat software (version 5.0 SP2), and in Settings, checked “Combine pages into a single item.”
- I ripped an article out of one of my magazines and, in order of first page to last, fed the pages one at a time through the scanner.
- When all the pages were scanned, I selected Done from the Neat menu. A 5 page article took about 3 minutes to process. Once it was done, it appeared in the list of “unreviewed” scans. I checked it over then exported it in PDF format to my “Magazine Articles” folder. In less than 2 minutes, the imported PDF appeared in the Magazine Articles notebook in Evernote. Because I have a premium account, I am able to search on text in the PDF-a HUGE benefit!!! I added some appropriate tags to help me locate the article later, and scanned a few more articles from the issue, before throwing it and all the scanned pages into the recycle bin!
I’m excited about this use of Evernote and NeatReceipts. I scanned articles from a half dozen magazines while watching the news. Because I have access to Evernote on my laptop, smartphone, and any computer with an Internet connection, I can access the articles that I’m interested in from virtually anywhere, and the magazines aren’t taking up space on my bookshelves. Thanks to Evernote’s tags and PDF search capabilities, I can find the exact information I’m looking for, whenever I need it, with just a few keystrokes.
I’m sure there are dozens of ways to put NeatReceipts and Evernote to work in my genealogy pursuits, but scanning magazines alone has already made the purchase worth it!
